Executive Officer HR

The function of the Agency for the Welfare of Asylum Seekers (AWAS) is the implementation of national legislation and policy concerning the welfare of refugees, persons enjoying international protection and asylum seekers. In practice, AWAS manages reception facilities, provides information programmes in the area of employment, housing, health, welfare and education, and promotes government schemes related to resettlement voluntary returns.

AWAS also acts as a facilitator between public entities responsible for providing services to ensure that national obligations to beneficiaries of international protection and asylum seekers are accessible and encourages networking between relevant local voluntary organisations in Malta. It also advises the Government on new developments in its field of operations and draws up reports for policy-making bodies.

Job Description

The Executive Officer – HR will be responsible to:

This job description may vary from time to time according to the exigencies of the Agency. The employee may be asked to carry out other tasks or duties as may be determined by AWAS Senior Management and as may be determined by national emergencies.

Requirements:

·         Assist in Administration duties.

·          Keep office informed and updated on changes/ issued by the relevant departments, relevant Ministries, and other authorities.

·          Record – keeping of the Human Resources databases.

·          Record keeping of Sick Leave and Vacation Leave and monitoring of such.

·         Prepare for and attend to meetings as required.

·          Compile meetings minutes as required.

·          Maintains as guided the necessary filing systems in respect of all related Human Resources matters.

·          Supports in the collations of data and human resource records by maintaining a filing and retrieval system and keeping past and current records.

·         Assists in the regular compliance checks and supports with the compilation of reports.

·         Assists with the recruitment process which follow the respective templates and supports with monitoring the preparation of such calls.

·         Assist with work permits and licenses.

·          Assist with collecting data pertaining to payroll.

·          Assist in collecting overtime requests, reconciliations, and reports.

The minimum Requirements are:

i.                     Proficient in the Maltese and English languages;

ii.                   In possession of a recognised 3 Matsec ’O’Levels (subject to a minimum of grades 1 – 5 or equivalent*) in Maltese, English and any other subject.

iii.                 in possession of ECDL

Knowledge of DAKAR and other related certificates would be considered an asset
