Job Description
The Executive Officer – Centre Support will be responsible to:
- Provide a full range of clerical/ reception assistance to the agency, help with administration of all client focused documentation
- Issue cheques and deal with payments (petty cash)
- Assist the Coordinator with the management of staff related issues
- Provide excellent communication with all agencies involved in client care
- Provide a photocopying service
- Use word-processing skills to create, update and improve clerical facilities for the agency
- Type case notes, review assessments closing summaries and other correspondence
- Undertake the administration support systems which enable the agency to function
- Maintain client records and notes
- Communicate verbally and in writing with other agencies about client care
- Participate in development of new systems for the department
- Input data, word processing, collect and produce statistical information required by the agency and to maintain and develop data collection systems
- Deal with all clerical matters regarding the successful management of the agency’s environment
- Deal with incoming calls as required
- Ensure provision of a reception service and ensure that callers to AWAS, both over the phone and in person, are dealt with promptly and courteously
- Manage the diary/ appointments on behalf of the center coordinator
- Carry out any other duties and responsibilities as may be required from time to time by the center coordinator.
This job description may vary from time to time according to the exigencies of the Agency. The employee may be asked to carry out other tasks or duties as may be determined by AWAS Senior Management and as may be determined by national emergencies.
Qualifications & Experience Required:
i) Proficient in Maltese and English languages;
ii) in possession of a recognized 3 Matsec ‘O’ Levels (subject to a minimum of grades 1-5 or equivalent*) in Maltese, English and any other subject.
iii) in possession of ECDL.
Other related certificates would be considered an asset.
