The Administrator – Facilities and Security Operations is responsible for the effective coordination and support of operational, administrative, and technical functions within AWAS. This role includes managing staff schedules and documentation, assisting with procurement processes, maintaining accurate records, and providing general clerical support. The Administrator also plays a key role in data collection and reporting, supports internal communication and training initiatives, and ensures smooth interdepartmental collaboration. Additionally, the role involves assisting with IT-related tasks and inventory management, supports complaints and feedback mechanisms, and ensures the overall efficiency of facility and security operations.
- Prepare and manage staff rosters, leave forms, and monthly returns.
- Assist in procurement needs, including request processing and follow-ups.
- Take and distribute meeting minutes and support internal communication.
- Maintain records, reports, and documentation, ensuring accessibility and accuracy.
- Provide general clerical support, including correspondence and filing.
- Support the development and implementation of agency-wide frameworks and processes.
- Assist in data collection, reporting, and analysis to support decision-making.
- Coordinate and facilitate training, workshops, and team meetings.
- Support the management of complaints and feedback mechanisms.
- Ensure smooth collaboration between different teams and departments.
- Assist with basic IT-related tasks, including office setup and support requests.
- Help maintain inventory records, including IT and supplies.
- Provide basic technical support and liaise with relevant teams for issue resolution.
- Act as a liaison between AWAS and external technology partners, including MITA, IMU, and other IT service providers, ensuring smooth communication and issue resolution.
This job description may vary from time to time according to the exigencies of the Agency. The employee may be asked to carry out other tasks or duties as may be determined by AWAS Senior Management and as may be determined by national emergencies.
The minimum requirements are:
- An MQF Level 5 Certificate in Business Administration or any related field.
Or
- Four (4) ‘O level’s and one (1) year experience in an administrative role.
Or
- Three (3) years’ work experience in an administrative role.
- Recent police conduct
- Candidates holding higher qualifications in the administrative field will also be considered for this position.
- Foreign qualifications shall be provided together with the MQRIC recognition.
Salary:
The salary for the year 2025 is equivalent to €25,935.00 per annum.
